Engagement close-out and lessons learned
Close every engagement the same way: client feedback collected, lessons recorded, a credential the firm can reuse, the final invoice raised and a follow-up planned. The client gives feedback through a shared link, an AI agent drafts the lessons and the credential, and the partner approves what the firm keeps.
- Duration: 1 to 2 weeks
- How often: At the end of every engagement
- Steps: 8 steps
- AI agents: 1 AI agent
- Approvals: 1 approval
Free plan, no credit card needed.
What changes with this template
Without it
The team moves to the next engagement and nobody asks the client how it went.
Lessons learned stay in someone's head.
The proposal team cannot find a recent credential to reuse.
Nobody calls the client again until they have a new budget.
With it
The client rates the engagement through a shared link in the week after sign-off.
The retrospective and the client feedback become written lessons the partner approves.
Every engagement ends with an approved credential in the firm's library.
The partner records a follow-up date and any follow-on work.
The template, step by step
Each step says who does it: someone on your team, an AI agent, or the client through a shared link. An approval keeps every later step locked until it is given.
- Done by your team
- Done by an AI agent
- Done by the client, through a shared link
Starts when
The client has signed off the final deliverable. The engagement manager starts a run with the client name and the sign-off date.

The AI agents in this template
An agent only works on its own steps, and a person on your team checks what it did. Anything an agent writes to a connected app waits for approval unless you allow it.
Close-out writer
Turns the client feedback and the team retrospective into lessons learned and a draft credential.
What it does
- Reads the engagement summary from step 1
- Reads the client's feedback and naming choice from step 2
- Reads the retrospective notes from step 3
- Writes the lessons and a draft credential into its step
Checked by: The engagement partner checks both and removes anything confidential in step 5.
Questions this template answers
Close every engagement with the same steps: client feedback, a team retrospective, lessons and a credential, the final invoice and a follow-up date. Steps 1 to 8 run that close-out in order, starting the day the client signs off.
Ask the client sponsor right after sign-off, with a rating and two open questions. In step 2 the sponsor gives feedback through a shared link and says whether the firm may name them.
Write a short credential at the end of every engagement, while the details are fresh, and file it once a partner approves it. In step 4 the close-out writer drafts the credential, step 5 is the partner's approval and step 6 files it in the library.
Record specific lessons from the client and the team, and change the methodology when a lesson calls for it. Steps 3 and 4 capture and summarize the lessons, and step 6 updates the methodology where needed.
Ask in writing at the end of the engagement and keep the answer with the credential. In step 2 the client sponsor records their choice through the shared link, and in step 5 the partner checks that the credential respects it.
Plan the next conversation with the client before the team moves on, based on the results and their feedback. Step 8 records the follow-up date and any follow-on work the partner sees.
